HR ADMINISTRATOR

The Opportunity
Our client is looking for a positive, energetic and results driven HR Administrator. Reporting directly to the HR Manager, you will form part of the HR & Admin team support the business across their different locations, including the teams in Malta and Headquarters in London. You will work closely with different team leaders to support them through the different HR processes.

Responsibilities

Maintaining accurate employee records, and administration of HR systems including absence management and attendance databases
Assist in the preparation of employee documentation such as tax forms, employment engagement forms, termination documents together with other required documents
Assisting in the management of employee benefits programmes
Managing recruitment activities and efforts, working closely with hiring managers and third parties
Liaising with external partners such as insurance providers, employment authorities etc
Assisting in preparing employment contracts and job descriptions
Making necessary arrangements for new joiners, co-ordinating the induction schedule, background checks and other onboarding processes
Provide first line advice to employees with routine queries around policies and procedures
Assisting in payroll processes and related reports
Participate in HR Projects, coordinating social events and assisting in office administration tasks, where required
Coordinating office maintenance, cleaning and upkeep by liaising with maintenance and housekeeping staff, contractors and service providers and ensuring routing checks take place
Working with the HR team to assist in ensuring health and safety policies and procedures are adhered to and maintained
Responsible for office management budget and inventories, including office materials and supplies. Maintaining office management expense tracking reports whilst ensuring value for money in purchasing
Assist the HR Manager in the day to day running of the HR & Admin function by providing adhoc administrative support

Requirements

Requirements:
A qualification in HR or a related field
At least 1 year of experience in a similar role
Familiar with Employment Law fundamentals
Excellent command of the English language
Ability to work in a multicultural and fast-paced environment
Attentive to detail and a pro-active attitude, ability to maintain confidential information
Proficient in Microsoft Office tools
Ability to work independently as well as within a team
