Receptionist Assistant

Job Description

We are current looking for a receptionist assistant to assume the duties for greeting visitors and clients to our office. The successful candidate should ensure to be in charge contacting employees regarding visitors, giving clients directions to various parts of the office, taking messages and answering phones, distributing and sorting mail.
Responsibilities
Announce clients as necessary.
Greet visitors and clients with a helpful and positive attitude
Prepare training and meeting rooms.
Assist clients in finding their way around the office.
Help maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
Assist with a various administrative tasks including taking notes, copying, faxing and make travel plans.
Assist colleagues with administrative tasks.
Answer phones calls in a professional manner and by routing calls as necessary.
Perform ad-hoc administrative duties.
Distribute and sort mail.
Forward and answer phone calls and screen
Manage, hire and develop the junior administrative team.
Provide exceptional customer service.
Schedule appointment

Requirements

Grade 12, diploma, degree in similar field
Prior experience as a receptionist or similar field
Excellent verbal and written communication skills.
Consistent, professional manner and dress
Knowledgeable MS packages Word, Excel, and Outlook.
Excellent time management skills.
Experience with clerical procedures and administrative.
Abilities to contribute positively as part of a team, helping out with various tasks as needed
